Email Migration

Move business email to Google Workspace with a clear, managed handover.

Odinma helps small organisations move from legacy POP accounts, hosting-panel mailboxes, and fragile Outlook workarounds to a managed Google Workspace setup.

Who it helps

For small organisations moving beyond old email hosting

Many businesses have email addresses attached to their own domain but still rely on legacy POP settings, old hosting panels, or Outlook workarounds. Odinma handles the transition with a clear migration window and minimal avoidable disruption.

Move away from POP

Replace outdated POP access with Google Workspace Gmail so email is available consistently across web, desktop, and mobile devices.

Protect email delivery

Configure the domain records needed for reliable sending and receiving, including modern email-authentication records.

Simplify the handover

Provide plain-English guidance, an agreed access approach, and handover information explaining what changed and what happens next.

Delivery scope

What the service includes

  • Google Workspace setup and domain verification.
  • MX, SPF, DKIM, and DMARC configuration.
  • Existing-mail migration for the agreed mailboxes.
  • Send/receive testing and cutover checks.
  • Client guidance and handover.

Approach

How the migration works

The sequence keeps access, preparation, mail flow, testing, and handover visible rather than treating the DNS switch as the whole migration.

  1. Confirm the domain, current provider, mailboxes, mail history, DNS access, and preferred migration window.
  2. Agree a secure, temporary access method. Do not request passwords in the public enquiry form.
  3. Prepare Google Workspace and the required domain records.
  4. Migrate the agreed mailboxes.
  5. Switch mail flow and test sending, receiving, and authentication.
  6. Complete handover, password/recovery actions, and removal of temporary access.

Access safeguards

Temporary, revocable, and least-privilege where possible

High-privilege access is treated as a temporary migration need, not an ongoing support entitlement.

  • Use a temporary Workspace administrator or a guided screen-sharing session where practical.
  • Prefer delegated DNS access, or enter records together, rather than sharing a long-term account password.
  • Use temporary mailbox access only when existing mail must be moved.
  • Do not place passwords, recovery codes, DNS credentials, or mailbox credentials in the public enquiry.
  • Remove temporary access and change any temporary passwords after migration.
  • Complete recovery-detail and two-step-verification actions during handover where applicable.
